BOOTH ARRANGEMENT
Applications for the space and the booth(s) must be made and submitted in the official form.
Secretariat of BARRIER FREE 2009 (Hereinafter: The secretariat office) reserves the right to accept or refuse any booking and to allocate the position of the exhibit space or booths.
Any decision by the secretariat office with respect to the allocation shall be final.
Exhibitors may not assign, sub-let or grant licenses in respect of the whole or any part of the space allotted to him.

BOOTH RENTAL CHARGE
Type A (Space only contract) JPY 304,500 /Booth
Type B (Basic Stand included) JPY 315,000 /Booth
*Type A: Raw Space only.
*Type B: This contract includes Basic Stand (Back and Side panels with Fascia Board)
*5% consumption tax is included in the above cost.

OTHER COSTS
Exhibitors must bear all expenses that are needed for your promotion in the show other than booth rental charges, such as booth building cost, electricity, furniture rental, travel, accommodation, catalogues, and so on. Exhibitors who booked Type B can save some booth building cost. Normally it depends on how many additional things exhibitors order. If you need further information about the cost, please contact the secretariat office.

APPLICATION DEADLINE
Nov. 28 (Fri.), 2008 Applicants will be put on the waiting list after space is fully booked. However, the secretariat office will not guarantee whether the desired space will be secured.

PAYMENT METHOD
The secretariat office will issue an invoice after processing the written application form sent by the exhibitor. The exhibitor must make the necessary arrangement of payment within one month after receiving the invoice.
–Application will be turned down if the secretariat office has determined that the exhibits don't fit in the contents of the exhibition or when the space is fully booked.
–Payment must be made by bank transfer in Japanese Yen at the time of the application.
–Please note that the secretariat office will not accept credit cards, checks, and money orders.
–In case the exhibitor fails to pay all or the part of booth rental charge, the booking will automatically be cancelled by the secretariat office a month after the acceptation of the application. The applicant must be aware that the secretariat office and the organizer do not accept any complaints about the damage that may arise from this rule.

HOW TO APPLY
Please download the application form. Fill out the form and fax or email it to the secretariat office. The secretariat office will send you back the invoice. The exhibitors are requested to pay the full amount of the booth rental charges within a month. (See "Payment Methods" for detail)
Note:
Please understand that you need to get your visa to enter Japan by yourself because we are not officially permitted to issue such documents to anyone from any countries. The organizer will not be able to support you by providing the official document.

APPLICATION PROCESS & CANCELLATION POLICY
In case of cancellation of all or part of the booked space, the exhibitor must inform the secretariat office in writing. In the event of exhibitor's cancellation after the application deadline, the exhibitor will be responsible for all, or part of the cost for his space contract. The exhibitor must pay the cancellation charge in accordance with the undermentioned scale.

75% of Total Booth Rental Charge

After February 1, 2009

100% of Total Booth Rental Charge


FLOOR PLAN
The Floor Plan is arranged by the secretariat office after the deadline of the application process. It takes a certain amount of time to be checked by several government officials. The exhibitors will be informed after these procedures finish.
*The secretariat office reserves all rights regarding the floor plan, and no complaints about it will be accepted.

EXHIBITOR'S PACKET
Exhibitor's Packet that includes Exhibitor's Manual, Application Forms for the exhibition preparation, Badges and so on, will be provided to exhibitors around February, 2009. All exhibitors must check everything in the packet and go over the manual carefully. Exhibitors are responsible for doing the preparation promptly and properly within the deadline designated on the manual.
*The secretariat office will not be responsible for any disadvantage that may arise from the failure of doing the preparation of exhibitors

EXHIBIT ITEMS FROM FOREIGN COUNTRIES
Osaka Customs may not recognize this fairground as "Bonded Exhibition Area", if we have too few offers of "Bonded Exhibition Area".@In that case, please use the ATA Carnet when you ship your exhibition cargo to Japan.
If you don't use ATA Carnet, all items must be cleared thought regular customs formalities paying applicable duty and 5% of consumption tax. Duty and consumption tax you paid can not be refunded.

–Installation and Display of Booth(s) : From 1:00 p.m. Apr. 13 (Mon.) to 5:00 p.m. Apr. 15 (Wed.), 2009
–Dismantlement of Exhibits and Displays : From 5:00 p.m. - 9:00 p.m. Apr. 18 (Sat.), 2009
